The Awards Coordinator is in charge of all prizing and awards given at any ceremonies at the Crankworx Rotorua Festival. They are crucial in ensuring that the planning, delivery and execution of each award, prize and ceremony is on time and to the expected Crankworx Rotorua standard.

THE GIG:

The Awards Coordinator will contribute to the success of Crankworx Rotorua 2022 by completing the following objectives:

  • Flawless planning and exceptional delivery of Crankworx Rotorua awards and prizing. 

 

KEY TASKS/DELIVERABLES:

Pre-Event:

  • Create a clear awards schedule in advance of the event and execute it during the festival.

  • Fairly allocate product prizing across all categories which require it, in line with the Crankworx World Tour Awards Guidelines.

  • Arrange an allocation of prizing to be used for the Volunteer Function.

  • Arrange an allocation of prizing to be used for Kidsworx and Mini Activations.

  • Provide a list of any equipment or resources required to Project Logistics Manager at least three weeks out from event.

  • Secure a list of U18 year old pro riders from the Athlete Manager and arrange for alternate non-alcoholic podium gifts.

  • Liaise with Volunteer Managers on volunteer requirements.

  • Liaise with Volunteer Managers regarding expected numbers of volunteers for the wrap up function and make sure prizing is allocated appropriately.

  • Establish who is responsible for each sporting event eg. Downhill, Pump Track etc and confirm timings and location(s) for each ceremony and determine a checklist of requirements for each event.

During Event:

  • Communicate what prizing has been allocated to:

    • Kidsworx Races

    • Kidsworx Arena

    • Mini Activations Coordinator

    • Functions Coordinator/Volunteer Managers.

  • Oversee all prize giving ceremonies.

  • Organise presenters for the presentation of medals, prizes etc.

  • Oversee a group of volunteers to assist with execution of awards.

  • Successfully execute the awards ceremonies for each competition.

  • Inform volunteers so they know what is expected in their awards role.

  • Liaise with media and emcees so that the ceremonies flow.

  • Make sure athletes know what is happening and that they are in position.

  • Compile prize packs for amateur athletes.

  • Meet pre-prizegiving with Adaptive Athletes to determine what their abilities are to work out the best possible podium arrangement for them.

  • Communicate with the Crankworx Rotorua Operational Team where each prize giving ceremony will be to arrange a scrim wall to organise prizes behind.

Post-Event:

  • Provide feedback including suggestions and improvements and areas of concern for future iterations of the event.

START DATE/POSITION STATUS:

This is a role we are expecting to fill late October and will wrap up after the commencement of the festival.

You will be required to attend the below Local Organising Committee Meetings in the lead up to the event:

  • Wednesday 7th September 2022: 9:00am – 10:00am

  • Wednesday 5th October 2022: 9:00am – 10:00am

  • Wednesday 19th October 2022: 9:00am – 10:00am

  • Wednesday 26th October 2022: 9:00am – 10:00am

  • Friday 4th November 2022: 9:00am - 1:00pm  

 

COMPENSATION:

To be negotiated based on the start date of the individual.

 

PLACE OF WORK:

Rotorua, New Zealand

In the initial lead up to the event delivery window, you may be required to work within the Crankworx Rotorua office at Te Puia or remotely (provided you are able to make yourself available for all team/project meetings). During the event delivery window, you will primarily be required to work onsite, this will either be in the Whakarewarewa Forest or at Skyline Rotorua.
